ONLINE BUSINESS
A website idea becomes more useful when you can explain who it serves, what they receive and how you will operate it. Before choosing a design or requesting a quotation, look beyond the name of the business model. An affiliate website, a digital product store and an AI tool can all live online, but they ask very different things of their owner.
Write one sentence: “This website helps this audience achieve this outcome.” Be specific enough to picture the visitor. “People interested in travel” is broad. “Parents comparing manageable city breaks with young children” gives you a clearer starting point for content, features and promotion.
Then describe the visitor’s next action. Will they read a comparison, purchase a download, request a service, join a membership or use a tool? That action should guide the first version of the website.
An affiliate or content website needs useful research, clear recommendations and a plan for keeping information current. Consider whether you enjoy producing and maintaining that content.
A digital product store needs products with a clear purpose, accurate previews and a defined delivery and support process. A large catalogue is less helpful than a small collection that answers a real need.
A service business website needs a clear offer, an enquiry or ordering process and the ability to fulfil the work. The website supports delivery; it does not replace the service itself.
A directory or marketplace needs a plan for attracting both visitors and suitable listings or sellers. It also needs someone to review submissions, maintain quality and handle questions.
A membership or learning platform needs a reason for people to join, a structured experience and a plan for maintaining the content or community.
An AI tool or SaaS product needs a clearly defined task, useful outputs and ongoing technical attention. Think about what happens when a user’s request fails or the result needs review.
For each idea, list the work you would handle yourself, the work you would outsource and the costs you still need to confirm. Include content, customer support, maintenance, promotion and any services the website depends on.
Also consider where the first visitors could come from. A completed website is a starting point; it still needs a practical way to reach the people it was built for.
Compare your strongest two or three ideas using the same questions: Do I understand the audience? Can I explain the offer? Can I maintain the required content or service? What must be tested before expanding?
Prefer a focused first version with one clear customer journey. You can add more products, categories or features after learning how people use it. The strongest starting point is an idea whose work, responsibilities and next steps you understand.
Need help comparing your options? AEL Technology can help you turn your shortlist into a clearer website brief and build plan.
WEBSITE PLANNING
A useful website brief does not need technical language. It needs enough detail for your designer or developer to understand what the website should do, what you already have and what still needs a decision. A clear brief makes it easier to discuss scope, compare options and review the finished work.
Start with a short description of your business, your audience and your main offer. Then choose the most important action you want a visitor to take: request a quotation, book a consultation, purchase a product, join a course or contact you.
For example, a consultant’s website might focus on explaining expertise and receiving qualified enquiries. A digital product store needs visitors to understand a product, review its contents and complete a purchase. These are different journeys, even if both websites include Home, About and Contact pages.
Create a simple page list. Under each title, add its purpose and the content it needs. “Services” is a starting point; “Services page explaining three offers, their scope, examples and enquiry buttons” gives the project a clearer shape.
Separate content that is ready from content that must be written or supplied. Gather your logo, brand colours, original photographs, product details, contact information and any approved testimonials. If you share references, explain what you like about them: the navigation, image treatment, section layout or buying experience.
Instead of asking for “a booking system”, explain what should happen. Who chooses the appointment? Do they pay before confirmation? What information should they provide? Who receives the notification? Which details still need to be agreed?
Use the same approach for forms, downloads, memberships and online orders. Describe the starting point, the steps and the expected result. Identify any existing tools or accounts that the website may need to connect with, without sharing passwords in the brief.
List the content you expect to maintain: headings, images, service cards, prices, products, articles or course lessons. Explain whether you need to add new items, change their order or create similar pages later.
Editing requirements belong in the initial scope. They help shape how the website is organised and what handover guidance will be useful.
Set out the priorities for the first release, the person responsible for feedback and any genuine deadlines. Distinguish essential features from later improvements so an optional addition does not obscure the main goal.
Define a few practical checks: navigation reaches the right pages, forms reach the intended recipient, important content is readable on smaller screens, and the agreed editing controls work. Where buying or booking is included, its full journey needs appropriate testing too.
A good brief is not a demand to know every answer immediately. It is a shared record of what is known, what matters most and what must be resolved before building.
Ready to organise your project? Use a project brief checklist, then bring your priorities to AEL Technology.
AI & AUTOMATION
The best place to begin with automation is often an ordinary task that keeps interrupting your day. Perhaps you copy enquiry details into a spreadsheet, send the same preparation instructions or notify someone when a form is completed. Before choosing a tool, understand the work well enough to describe it clearly.
For several working days, note the tasks you repeat. Record what starts each task, where its information comes from, what you do and what should happen next. Include the awkward parts: missing fields, duplicate records, unclear requests and occasions when you need someone else’s approval.
Look for tasks that happen regularly and follow a reasonably consistent pattern. A task that changes completely each time may first need a clearer process rather than immediate automation.
Choose a single candidate and write its steps in plain language. For a new enquiry, the journey might be: receive the form, check required information, create a record, notify the right person and send an acknowledgement.
Be precise about the expected result. “Handle my leads” is too broad. “Create one enquiry record and alert the assigned person when a complete form arrives” is easier to scope, test and improve.
Identify the decisions that follow clear rules. A selected service may determine which person receives a notification. A missing email address may mean the submission needs review. These decisions can be described and checked.
Other decisions need judgement, such as confirming a complex quotation, assessing a sensitive complaint or approving a public message. Keep a person involved where appropriate. If AI assists with classification or drafting, define what it may do and when its output needs review.
Ask what should happen if information is incomplete, a record already exists or a connected service is unavailable. Decide who should be notified and how they can correct the issue. An automation should make work easier to understand, not leave uncertain outcomes hidden between systems.
Check what access is needed and whether the necessary connections are supported. Use only the information required for the task. Keep account access and sensitive data out of shared planning documents.
Start with one workflow and a clear success check. Test ordinary cases alongside missing information, duplicates and failures. Where a workflow sends messages or changes records, use an appropriate controlled test setup before relying on it for real customers.
Assign someone to review the results and maintain the workflow when the business process changes. Record its purpose, inputs, expected output and the steps for handling a problem.
Automation becomes more useful when the underlying process is clear. A focused first workflow gives you a practical way to learn what should be connected next.
Have a repetitive task in mind? AEL Technology can help you map the process, define its boundaries and identify a sensible first automation.
